# Workspace Onboarding

Essential steps to get your account ready, including profile details and preferences.

### Step 1 — Set Up Your Workspace

On the Workspace screen:Upload your workspace image (256×256px recommended).Enter your Workspace Name (artist, label, or brand name).Enter Your Name (this is only visible internally).This information personalises your workspace and appears across your inbox and dashboard.

Select the inbox type that best fits how you’ll use Trackstack:

* **Personal** — for DJs/artists receiving promos and demos
* **Label** — for A\&R teams reviewing demo submissions
* **Curator** — for playlist or content creators

This determines how your inbox is presented publicly.

1. Enter your **Inbox Name** (public-facing).
2. Choose your **Country**.

These details appear on your public inbox profile and help senders understand who they’re submitting to.

Select the genres you want to receive. This helps artists send relevant submissions and improves discovery inside your workspace. We do our best to be as granular as possible within electronic music but if there are any genres or sub-genres you feel are missing, please email <support@trackstack.app> to submit a request. Please note, we do not support genres outside electronic music.

Check your profile preview, including:

# Navigating the Dashboard

A brief tour of the main interface and where to find core features.

Once your inbox is activated, you’ll land in your Trackstack dashboard. This is your central hub for navigating between products, managing submissions, accessing settings, and staying on top of activity.

Below is a quick guide to every main area of the dashboard.

### **1. Left Sidebar – Product Navigation**

The left sidebar is where you switch between Trackstack’s three core products:

* **Inbox**
* **Studio**
* **Elevate**

Selecting a product updates the **sub-navigation** beneath it, giving you quick access to tools and workflows specific to that product.

### **2. Workspace Switcher**

If you have access to more than one workspace (e.g., multiple artists or teams), you’ll see a **workspace switcher** at the top-left of the sidebar.<br>

Click it to instantly switch between workspaces without signing out.

### **3. Search Bar**

At the top of the dashboard, you’ll find the **global search bar**. You can use this to search across your entire workspace, including:

* Submissions
* Contacts
* Inboxes
* Artists and labels

This is the fastest way to find anything in Trackstack.

### **4. Notifications**

Click the **bell icon** in the top right to open your notifications. Notifications are grouped into categories such as:

* Comments
* Reviews
* Revisions
* Shortlist

This helps you stay updated on activity without needing to check each section manually.

The **share icon** in the top right opens tools for sharing or customising your public inbox link. From here, you can:

* Copy your public submission link
* Create a share card image

Click your **avatar in the top right** to access all account-level actions, including:

The Inbox is the heart of Trackstack: your central place for reviewing all incoming demos and promos, and discovering and sending to other Inboxes.

The Inbox is the core of the Trackstack experience — a central hub designed to help you manage demos, promos, and professional submissions with speed and clarity. Instead of dealing with scattered links, emails, and messages, the Inbox brings everything into one organised workspace where you can review tracks instantly, stay on top of activity, and build stronger relationships with artists and creators.

From powerful listening tools and offline playback, to contact management, analytics, and collaboration features, the Inbox gives you everything you need to streamline your review workflow. Whether you're a DJ, label, or curator, this is where your music discovery and decision-making process begins.

# Core Concepts & Reviewing Tracks

This section introduces the key ideas that power Trackstack and explains the terminology you'll encounter throughout the platform.

Understanding Trackstack’s core concepts will help you navigate your submissions more efficiently and make better decisions when reviewing and sending music. Below are a few key concepts you’ll use regularly inside Inbox.

### **Shortlisting**

Shortlisting is a way to mark tracks you want to revisit, consider, or keep an eye on. It’s your personal “maybe” list — ideal for submissions that show promise but need a second listen or more context. It is specific to **Label** type Inboxes and signals to the artist you are moving forward in some way with the track.

Shortlisting is especially useful for:

* Tracks you want to return to later
* Building a pool of potential signings
* Narrowing down a large batch of submissions
* Organising music for future listening or releases

Shortlisted tracks remain easy to find in a dedicated Stacks, helping you stay organised as you make decisions.

### **Supporting**

Supporting a track is the highest form of positive feedback on Trackstack. It signals that you genuinely like the submission and intend to support it in your sets. Unique to Personal type Inboxes, marking a track as Supporting is a final action and the artist should not expect any further communications or actions from you.

Support can mean:

* You plan to play it in a set
* You want to test it before playing it
* You’re adding it to a playlist
* You’re saving it for later

Supporting also strengthens your relationship with the sender and contributes to your overall Professional Relationship Management on Trackstack.

### **Declining**

Declining a track lets you clearly signal that a submission isn’t the right fit for you. It helps keep your Inbox organised by removing tracks you don’t want to revisit, while still acknowledging the sender’s effort. Declining also contributes to transparent Professional Relationship Management, ensuring artists get a clear response rather than being left waiting.

We strongly believe that receiving a "Decline" is better than being left in the dark, therefore every track reviewed will receive a supporting, shortlist or decline.

### **Stacks**

Stacks are playlists or collections you create to organise tracks inside Trackstack. You can build Stacks for sets, releases, playlist ideas, show prep, or any custom workflow. Adding a track to a Stack helps you group submissions meaningfully, making it easier to review, compare, and act on them later.

Putting a track into a Stack automatically notifies the sender that you have reviewed the submission and are moving it forward in some way. We allow you to create Stacks to match your workflow and depending on the Stack you shortlist a track into, it will send a custom message to the sender.&#x20;

Here are some examples of typical Stacks and their automated messages:

* **Second Listen** - "Thanks for sending this over, I want to revisit it with fresh ears and will follow up once I’ve had another listen"
* **Considering Release** - "I’m consider this track for a potential release on my label, please hold for 2 weeks and will keep you updated as things progress"
* **Trying out in sets** - "I’ll be testing it in upcoming sets. I will share feedback and if I will consider for release once I’ve had the chance to play it out."

### **Submission Credits**

Submission Credits represent how many tracks you can **send** to other public inboxes each month. Every track uses one credit, meaning one submission with three tracks uses three credits. They apply only to outbound submissions — not receiving. Pro members receive **1,000 submission credits** per month, with credits renewing monthly.\

We will soon offer the opportunity to buy extra submission credits.

### **Feedback Templates**

Feedback Templates help you respond to submissions quickly and consistently. Instead of typing out the same message each time, you can save preset responses for declining tracks. Templates help streamline communication, maintain professionalism, and make artists feel acknowledged. It also takes the effort away from giving specific feedback that will help the artist reflect, learn and improve.

Every Inbox has a default feedback template that is sent when clicking the thumbs down "Decline" button, this can be configured in the Inbox settings menu under "Preferences". You can create as many templates as you'd like based on your workflow.

# Setting up your Profile

Creating your profile is an important part of sending and receiving tracks on Trackstack.

Your profile is the public-facing identity that artists, DJs, and labels see when they interact with your Inbox. A well-configured profile helps you establish trust, improve submission quality, and create stronger professional connections.

This page walks you through each part of your profile and how to set it up effectively.

### **Set Your Public Name**

Your public name is the identity displayed to artists and contacts when they submit to you, view your inbox or receive tracks from you.

Examples:

* Artist name (e.g., *Jamie Jones*)
* Label name (e.g., *Hot Creations*)
* Brand or collective name (e.g. Mason Collective)

Choose a name that helps senders immediately understand who they’re submitting to. You Inbox profile is the same as your sender profile, meaning you only need to set this up once.

### **Add Your Profile Image**

Your profile image appears on your public inbox page and throughout the Trackstack ecosystem.

**To upload your image:**

1. Go to **Settings → Profile**
2. Upload a square image (recommended **256×256px**)
3. Save changes

Use a clear, recognisable image such as your artist photo, label logo, or brand icon.

### **Add Your Bio**

Your bio helps senders know what you’re about and what kind of music you’re looking for. It also sets expectations and can reduce irrelevant submissions. It is **optional but recommended.**

Use your bio to share:

* Your role (DJ, label, curator, producer, etc.)
* The genres you care about
* What you’re currently looking for
* Any submission tips or preferences

Even a short 1–2 sentence bio can make a big difference.

### **Set Your Location**

Your location is shown on your public inbox profile and helps artists understand your region and time zone.

This is especially helpful for:

* DJs playing region-specific sets
* Labels focused on certain markets
* Curators creating location-based playlists

### **Add Links & Social Profiles**

You can link your social accounts and websites to give artists additional context and credibility.

These links appear on your public inbox and help strengthen your professional identity. Artists that add these to their profile stand a higher chance of being signed to labels.

### **Customise Your Public Inbox Link**

Your profile automatically generates a public inbox link (e.g., `tstack.app/yourname`). You can customise this link in your settings to match your branding.

A clean URL makes it easier to share and looks more professional across social platforms, especially if you are sharing it publicly. Thing of it in a similar way to your Instagram or X handle.

### **Get Verified**&#x20;

Verification adds a **blue tick** to your profile and confirms that your inbox belongs to a legitimate DJ, label, or industry professional. This helps protect artists’ intellectual property and ensures their music is being sent to trusted members of the Trackstack community.

**How to get verified:**

1. Go to **Settings → Profile → Sharing**
2. Check if your profile has already been verified
3. If it has not, submit your request to <support@trackstack.app>

Once approved, your blue badge will automatically appear on your profile and public inbox.

### **Profile Featured Tracks**

Featured Tracks allow you to showcase selected music directly on your public inbox profile. This helps artists understand your sound, see what you support or play, and get a better sense of what type of submissions you’re looking for.

#### **How Featured Tracks Work**

You can choose any tracks from your **Library** and arrange them in the order you want. These tracks will appear at the bottom of your public profile.

Use Featured Tracks to highlight:

* Tracks you’ve supported or signed
* Music you regularly play
* Releases from your label
* Sounds that best reflect your style

#### **How to Manage Featured Tracks**

1. Open **Profile Featured Tracks** in your settings.
2. Select tracks from your Library.
3. Reorder them to control how they appear publicly.
4. Save your changes — updates are applied instantly.

You can also upload tracks directly if you’d like to feature music that isn’t already in your library.

Featured Tracks help senders better understand your taste and increase the relevance and quality of submissions you receive.


# Preferences & Visibility

Setting up your Inbox preferences helps you stay in control and on top of your incoming music. It signals to others users what you are looking for and when you are open for tracks.

Your Preferences & Visibility settings allow you to control what kind of music you receive, who can access your inbox, when submissions are accepted, and how artists interact with you. These settings help you create a more intentional, manageable, and high-quality submission experience.

### **Accepted Content**

#### **Genres**

Choose which genres you want to receive. This helps guide artists before they submit and ensures you receive music that aligns with your preferences. You must select at least one genre.

#### **Genre Filtering**

Enable this option to **block submissions that don’t match your selected genres**. When turned on, senders will only be able to submit tracks within the genres you’ve chosen — reducing mismatched submissions and increasing relevance.

### **Access & Visibility**

#### **Password-Protected Inbox**

You can restrict access to your inbox by setting a password. When enabled, only users with the password can submit tracks.

Use this when you want to:

* Run private submission periods
* Limit access to specific artists
* Control who can reach your inbox
* Create a VIP inbox for close friends and contacts

#### **Visibility Options**

Control how artists can find your inbox.

* **Private** — Only accessible via your direct link. Your inbox is hidden from search and directory.
* **Public** — Discoverable in Trackstack search and directory. Recommended for DJs and labels wanting broader visibility.

#### **Pause Inbox**

Temporarily stop new submissions from being received. When paused:

* Artists can’t send new tracks
* Your inbox is hidden from discovery
* A custom “Pause Message” is displayed on your public page

Useful when you're:

* Reviewing a backlog
* Closing A\&R windows
* Taking time off
* Preparing for a specific campaign or release

Opening Times allow you to choose when your inbox accepts new submissions — turning it from a 24/7 fire hose into a **controlled, strategic tool**.

You can:

* Enable or disable Opening Times
* Choose specific days (e.g., Mon/Wed/Fri)
* Set start/end times
* Configure your timezone
* Set recurrence (e.g., weekly)

This feature is perfect for:

* Recent momentum: your 3‑month average of positive interactions (plays, downloads, supports, shortlists).
* Personal baseline: compared against your own best period — not anyone else’s.
* Score (0–100): higher = closer to your personal best right now.
* Delta (pts): change vs the previous period. Green means momentum is building.

How to read it

* Excellent: Top range for your recent history
* Strong: Above your typical level

# Contacts

Your Contacts page helps you understand who is sending you music, how engaged they are, and how your network is growing. They are you Professional Fans.

Every time an artist sends you a track, they become part of your **Contact Network**. Over time, this creates a powerful audience of creators who know you, follow your work, and want to build a relationship with you.

Anyone who submits to your inbox — whether once or repeatedly — is automatically added to your Contacts list. You can export these contacts at any time to grow your newsletter, promote releases, or feed your email marketing tools. This transforms your inbox activity into a valuable audience you can continue to nurture.

### **Contact Table**

Your contact list shows detailed information for every artist who has sent you music. For each contact, you’ll see:

* **Name**
* **Email**
* **Country**
* **Connection Strength** — an indicator of how engaged this artist is with you (e.g., Strong, Medium, Weak)
* **Total submissions sent**
* **Last sent** — how recently they submitted (e.g., *37 minutes ago*)
* **First sent** — when the relationship began (e.g., *10 months ago*)

This helps you understand who your most active and loyal senders are.

When enabled, Trackstack remembers the tracks you’ve selected as you move between pages or switch inboxes in the Composer. Useful when sending promo packs to multiple DJs or preparing multiple submissions.

Selections automatically clear after 3 hours of inactivity or when browser cache is cleared.

#### **Default to Promos**

When turned on, the Composer defaults to **Promo** submissions instead of **Demo**.\
You can still switch manually per submission. Ideal for labels, promo teams, and artists regularly sending promos.

* Track Comments: New comments on your sent track or thread.
